Keepr vs spreadsheets for MTD

You can keep the spreadsheet - but it cannot talk to HMRC on its own.

You can keep using a spreadsheet under Making Tax Digital, but not on its own. A spreadsheet cannot send anything to HMRC, so you need bridging software to submit from it, and the records have to be kept digitally with a digital link through to the figures you file. What a spreadsheet still does well

A fair amount. It is free, you already know it, and it does exactly what you tell it. For a very simple trade, a handful of invoices a year and few expenses, a spreadsheet plus bridging software is a legitimate way to meet MTD.

What it cannot do

It cannot submit. It cannot tell you which quarter is due or that a deadline has passed. Nothing in it stops you deleting a row you have already filed, and the MTD rules require you to create and preserve your business records digitally. It will not chase an unpaid invoice, capture a receipt, or work out what you owe. Every one of those is a job you keep doing yourself.

The rule people miss: where you keep records in a spreadsheet and file with bridging software, the two have to be digitally linked, so the figures move across without being retyped. The chain from record to submission has to stay digital.
Keepr is not right for you if you let a property. Keepr covers sole trader self-employment income and does not file landlord property income. MTD for Income Tax applies to property income too, and a spreadsheet does not solve that either, so you need software that files property income. A spreadsheet still works if your trade is genuinely simple, you enjoy the control, and you are happy to buy bridging software and keep track of four deadlines a year yourself.

Common questions

Can I still use Excel for MTD for Income Tax?
Yes, but not by itself. Excel cannot send data to HMRC, so you need bridging software that reads your spreadsheet and submits from it, and you must preserve the digital link between your records and the figures filed.
Is Keepr recognised by HMRC for Making Tax Digital?
Keepr has been listed on GOV.UK's software choices list since 28 August 2026, for sole trader self-employment income. That is a technical check rather than an endorsement; HMRC does not recommend any product or provider.
What is bridging software?
A tool that sits between a spreadsheet and HMRC. It reads your figures and submits them under MTD without you retyping anything, which is what keeps the digital link intact.
What is a digital link?
An unbroken digital path from your records to what you file, so figures move between products without being retyped. The Income Tax rules require one where you use more than one piece of software, and HMRC set out what counts in its Making Tax Digital guidance. If you are relying on a spreadsheet plus bridging software, that guidance is worth reading rather than guessing at.
Is a spreadsheet cheaper than Keepr?
