What Keepr does, what's on your dashboard, and what to do next - in the time it takes to make a cup of tea.

Welcome to Keepr. This is a quick tour - by the end you'll know what Keepr does, what's on your dashboard, and which page to open next. Give it five minutes.

What Keepr is

Keepr is a bookkeeping and invoicing tool for UK freelancers, sole traders, and small limited-company directors. It bundles invoices, expenses, other income, time tracking, tasks, projects, clients, reports, and an HMRC tax estimate into one place - no row limits on the Free tier.

Your account is on the 14-day Pro trial right now. You've got every Pro feature switched on for two weeks, no card needed. After that you drop to the Free tier - nothing locks up, you just lose the automation extras.

Your dashboard

The page you're looking at now is the Summary - your dashboard. Top right there's a period selector (default Last 30 days) that controls the time-windowed cards. Below the cards is a 6-month Profit & Loss chart.

Here's what each card means:

Unbilled TimeBillable time you haven't yet put on an invoice.
Tax EstimateEstimated HMRC bill. Self Assessment for sole traders, Corporation Tax for limited companies.
Most cards are clickable - they take you to the page with the underlying numbers, so the dashboard works as a launchpad as much as a summary.

The sidebar

The menu down the left is the main way you'll move around Keepr. Here's a one-liner for each item:

Invoices don't get their own menu item - they live inside Income alongside other types of income. You'll see them all together in one list.

The + Add new button

At the top of the sidebar there's a blue + Add new... button. This is the fastest way to create anything in Keepr from any page.

Pro vs Free at a glance

Free is genuinely unlimited - no caps on anything. The only difference between Free and Pro is automation:

A quick rule of thumb: if you invoice more than about £900 a month through Stripe, the lower Pro fee saves you the £9/mo subscription cost before you count any of the automation perks.

Where to go next

There's no single right order, but most new users find this sequence painless:

  1. Start with Setting up your business profile. Invoices won't send without your address filled in.
  2. Then send your first invoice - a couple of minutes once your profile is set.
  3. When the receipts land, learn how to record an expense.
  4. If you bill by the hour, set up time tracking on a project.
  5. Got a regular client? Try recurring invoices (Pro).
  6. Once you've got some data in, look at reading your Profit & Loss.
Do I have to pay anything to use Keepr?
No. The Free tier is forever-free with no row caps. Pro adds automation on top - see exactly what you get on Pro. You're on a 14-day Pro trial now so you can try the lot before deciding.
When does the 14-day Pro trial end?
Fourteen days after you signed up. When it ends, your account drops to the Free tier automatically - nothing locks, you just lose recurring invoices, automated reminders, branding, and the other Pro extras. You can upgrade any time.
What does it cost to take payment through Keepr?
Free users pay 2.5% + 20p per Stripe card payment (Stripe's 1.5% + Keepr's 1% application fee). Pro users pay 1.5% + 20p, which is Stripe's rate with no Keepr fee on top. Full fee breakdown here.
Where are my invoices in the menu?
Inside Income. Keepr keeps invoices and other income together in one list so you can see all the money coming in at a glance. Create a new one any time from + Add newCreate Invoice.
Why is the Tax card showing a projection?
If you're a sole trader and at least 30 days into the tax year, Keepr annualises your profit so far and runs the estimate on the projected full-year figure. The card shows a Projected tag when this happens.
Can I import data from another tool?
Yes - Importer handles CSV imports for clients, invoices, and expenses.
