Setting up your business profile in Keepr

Add your company name, address, contact email, and tax details so they appear on every invoice you send.

Your business profile is the company information that appears on every invoice, email, and report Keepr creates. Open Settings → Business from the account menu in the top-right, then fill in your company name, address, business email, and postcode. Setup takes about two minutes.

Where to find Settings

  1. Click your name in the top-right corner of any page.
  2. Choose Settings from the dropdown menu. The page opens with the Business tab active.

The eight Settings tabs

It helps to know what each tab is for before you start. You only need the Business tab to complete your profile.

The Settings page has eight tabs. Business is the default.

Filling in the Business tab

The Business tab has four sections: Business Details, Address, Contact, and Tax Information. Work through them top to bottom.

Business Details

  1. Company Name - the trading name shown at the top of every invoice. Marked with a red asterisk because it is required.
  2. Business Type - choose Sole Trader or Limited Company. This affects which tax features Keepr shows you (for example, the Self Assessment estimate for sole traders or the Corporation Tax estimate for limited companies).
  3. Financial Year End - only appears if you chose Limited Company. Pick the day and month your accounting year ends (for example, 31 March).
  4. Currency - the currency your invoices are issued in. Defaults to your account currency.
  5. Time Zone - controls dates and times throughout the app. Defaults to Europe/London.

Address

Fill in your registered business address. If you trade from home, use your home address. Country defaults to United Kingdom.

  1. Address Line 1 - house number and street.
  2. Address Line 2 - optional second line.
  3. Town / City.
  4. County - optional.
  5. Postcode.
  6. Country.

Contact

  1. Business Email - shown on invoices so clients know how to reach you about billing. This is different from your Keepr login email.
  2. Business Phone - optional. Shown on invoices if you provide one.

Tax Information

VAT Number - only fill this in if you are VAT-registered with HMRC. When set, your VAT number appears on every invoice. Leave it blank if you are not registered.

Once everything is filled in, click the green Save Changes button at the bottom of the form.

The four fields you must complete before sending invoices

Keepr only marks Company Name with a red asterisk on the form, but the invoice-send check will block you if any of these four are empty:

If you click Save & send on a new invoice with any of these missing, Keepr shows the message "Please complete your company profile before sending invoices" and bounces you straight back to Settings → Business.

Branding your invoices (Pro)

The Business tab itself is identical for Free and Pro users. The settings that change how your invoices look live on the Invoices tab. Free users get the Modern template; Pro users can also set:

  1. Invoice Template - pick from the full template gallery.
  2. Accent Colour - your brand colour, applied to the PDF and email header.
  3. Font - Helvetica, Georgia, Courier, or Times New Roman.
  4. Logo - upload a PNG or JPG up to 2MB.
Custom branding is a Pro feature. Free users see these fields greyed out with an upgrade prompt. The information in the Business tab still flows onto the Modern template on Free.

FAQ

Do I have to fill in every field on the Business tab?
No. The minimum you need to send invoices is Company Name plus Business Email, Address Line 1, Town / City, and Postcode. Everything else is optional but appears on invoices when set.
Is the Business Email the same as my login email?
No. Your login email is what you sign in with. The Business Email is the address shown on invoices and used as the reply-to when clients receive them. They can be the same address, but they don't have to be.
I'm not VAT-registered. What do I put in the VAT Number field?
Leave it blank. The field is optional and only appears on your invoices when you fill it in.
Why does the Financial Year End field only appear for Limited Companies?
Sole traders are taxed on the standard 6 April - 5 April Self Assessment year, so there is nothing to configure. Limited companies pick their own year-end, which Keepr needs in order to calculate Corporation Tax estimates correctly.
Can I change these details later?
Yes. Anything on the Business tab can be edited at any time. Existing invoices won't change retroactively.
Once your profile is saved, you're ready to send your first invoice.
