Guides Expenses Where your expense categories go on your tax return

Where your expense categories go on your tax return

Every category Keepr creates for you, the HMRC box it files under, and the two kinds of spending that are not tax-deductible.

Every expense you record lands in one of HMRC's expense boxes on your Self Assessment return. Keepr does that mapping for you. This page shows exactly which box each of your starting categories uses, and which two kinds of spending are not tax-deductible.

Eating while you are working away from base goes under Travel > Meals While Travelling, and it is tax-deductible. Meals & Entertainment is for entertaining clients, which is not.

Where each category goes

These are the categories Keepr creates for you when you sign up. Anything you add yourself files under Other expenses until you choose a box for it.

The two that are not tax-deductible

Most business costs reduce the tax you owe. Two do not, and HMRC still expects to see them on your return, so you should keep recording them.

Business entertainment costs covers entertaining clients, which is Client Meals and Client Entertainment. Depreciation is the drop in value of equipment you own. Keepr records both in full and leaves them out of your tax figures. Your Profit and Loss report shows them in your expenses, then adds them back on a separate line so you can see both your real profit and your taxable profit.

Changing where a category goes

You can move any category to a different box, and you do not need to have connected Keepr to HMRC to do it. The box decides whether the expense counts as tax-deductible, and which figure it appears in on your return.

  1. Open Expense Categories and click the category you want to change. To make a new one, click Add Expense category in the top-right toolbar.
  2. Pick a box from Tax category. Leaving it on Not set (filed as Other expenses) files that spending under Other expenses.
  3. Click Save.
Does changing a category's box affect expenses I have already recorded?
Yes. The box is read when your figures are worked out rather than copied onto each expense, so a change applies to everything in that category straight away, including past spending.
What happens to an expense with no category?
It files under Other expenses. Nothing is left out of your return.
Where does mileage go?
Mileage is claimed separately at HMRC's flat rate per mile and files under Car / van / travel expenses. You do not need an expense category for it.
